Payroll for recruitment and staffing agencies
Providing specialist payroll services to recruitment and staffing agencies
When your job is all about recruitment and providing staff, especially for temporary staff at short notice, payroll moves fast and never stands still.
New starters, ending assignments, changing rates and last-minute timesheets are just part of a normal week. Add multiple clients, multiple pay rates and a workforce that can grow or shrink overnight, and it’s easy to see why so many agencies find payroll one of the hardest parts of the business to run well.
By outsourcing to Ascend, you get a payroll partner who understands the pressure points of the sector and has built a service around them. You keep control of your business and your client relationships. We make sure every worker gets paid accurately and on time, whatever the volume.
Why are recruitment and staffing payrolls such a challenge?
Few sectors combine speed, scale and complexity in quite the way recruitment does.
Workers move between assignments and clients constantly, often at different rates and different terms. Weekly payrolls need a fast turnaround, but there’s no room for that speed to come at the cost of accuracy or compliance.
- High churn, with workers starting and leaving assignments all the time
- Multiple pay rates and assignments running side by side, sometimes for the same worker in the same week
- Weekly payrolls that demand a quick, accurate turnaround
- Variable hours and timesheets that change from one pay period to the next
- Complex holiday pay calculations across irregular working patterns
- Agency Worker Regulations to track, including equal pay entitlement after 12 weeks
- Auto enrolment made harder by short assignments, postponement, opt-ins, opt-outs and re-enrolment
- High volume payment processing across a workforce that can change size week to week
Working with the systems you already use
Timesheet and time and attendance data usually come from somewhere else, and it needs to land in payroll without hours of manual re-keying.
We can work with data exported from recruitment, time and attendance, and timesheet systems, whatever platform you use. In most cases, we can also set this up through an API, so hours flow through to payroll with less manual handling and less room for error.
Staying compliant, pay period after pay period
Recruitment payroll carries risks that build quietly if they’re not managed properly.
With multiple pay rates in play, National Minimum Wage compliance needs constant attention. Deductions, unpaid training, travel time, waiting time and uniform charges can all pull a worker’s effective pay below the threshold if they’re not accounted for correctly, and that has to be checked across the relevant pay reference period, not just at a glance.
Agency Worker Regulations bring another layer. Tracking continuous service to identify when a worker becomes entitled to equal pay sits with you as the agency, but our reporting gives you the visibility to manage it with confidence.
Auto-enrolment is rarely straightforward in a sector built on short assignments and high turnover. Postponement periods, opt-ins, opt-outs and re-enrolment all need managing correctly and on time, and that includes making sure statutory automatic enrolment communications go out to the right workers at the right time.
Umbrella company arrangements are also worth a mention. Changes from April 2026 mean agencies and end clients can carry responsibility for making sure PAYE is operated correctly further down the supply chain. It’s a developing area, so we’ll be covering it in more detail separately, but it’s something we can help you think through as part of your wider payroll setup.
High-volume payments, handled properly
Paying hundreds or even thousands of workers accurately, on the same day, every week, takes a robust process behind the scenes.
Our Bacs-approved bureau status, structured approval controls and full audit trails mean every payment run is checked, authorised and traceable. You get the speed the sector demands, without cutting corners on control.
Pay and bill reconciliation made simple
Matching what you bill your clients against what you pay your workers gets complicated fast, especially with multiple charge rates, margins, expenses and adjustments all in the mix.
We build reporting around how your business actually works, so you can reconcile pay and bill data with confidence rather than piecing it together manually. If you need a specific format or breakdown, we can tailor our outputs to match.
